Our compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) is not just a federal obligation, but a continuation of our service. PIPEDA sets out ground rules for the management of personal information for businesses, organizations and individuals to follow in collecting and processing personal information. Healthcare organizations have the additional challenge of securing personal information and maintaining stringent levels of patient confidentiality, while allowing easy access to authorized users. The Personal Health Information Protection Act (PHIPA), a provincial legislation, addresses this area.
Personal information is defined as identifying information about an individual. It does not include information that is business contact information and/or is publicly available information, such as client and customer names, addresses, telephone numbers and electronic addresses when listed in a public directory or made available through directory assistance or other similar sources.
Medcom Solutions is accountable for the personal information provided to us and has appointed individuals to be responsible for our compliance by developing and implementing personal information policies and practices.
Medcom Solutions identifies the purpose, before or when personal information is collected, on why it is needed and how it will be used.
Medcom Solutions informs and receives consent of an individual for the collection, use and disclosure of personal information.
Medcom Solutions limits collection of personal information to the amount and type of information necessary for the purposes identified.
Medcom Solutions limits the use, disclosure and retention of personal information for the purposes for which it was collected except with the consent of the individual, or as permitted or required by law. Medcom Solutions will take reasonable steps to ensure that only employees who need to know or whose duties so require, are granted access to personal information.
Medcom Solutions takes reasonable steps to keep personal information accurate and up to date as is necessary. Our clients are responsible for the accuracy of their patients’ personal information and keeping Medcom Solutions informed.
Medcom Solutions has safeguards in place to protect all personal information from loss, unauthorized access, use, disclosure, modifications and destruction.
Medcom Solutions is open about their policies and practices relating to the management of personal information of our customers, clients and their patients, as well as our employees.
Medcom Solutions provides an individual access to his/her own personal information and details about the use and disclosure of that information. We respond to any requests as soon as possible.
Medcom Solutions provides individuals with information about the procedure for challenging compliance to PIPEDA. We investigate complaints received and take appropriate measures, if needed, to correct personal information handling practices.
